Job Description

Our Baton Rouge ACT team is seeking a detail-oriented Administrative Assistant with experience in Medicaid authorizations and a strong understanding of behavioral health and substance use service plans.

Minimum Requirements

  • High School Diploma or GED (required)  

  • Associate or Bachelor’s degree in related field (preferred)

Job Duties/Skills Required

  • Welcomes and is courteous to all persons entering the office.  

  • Screens telephone calls and visitors as directed; may refer calls to appropriate staff.   

  • Efficiently and accurately handles clerical tasks including data entry, typing, filing, and sorting and distributing mail.   

  • Prepares, reviews, and revises correspondence, reports, and other documents for accuracy and clarity.  

  • Maintains files and reference manuals/materials; ensures confidentiality/security of information.   

  • Obtains required documentation for files and charts; makes copies as needed.  

  • Tracks forms, deadlines, and reports needed to the Lead and team members.  

  • Scans records for electronic archival following protocol. 

  • Monitors status of service authorizations and reports any concerns to the Program Director.  

  • Manages the supervisor’s calendar by scheduling appointments and organizing meeting rooms and materials as directed.  

  • Coordinates/schedules appointments and reminder notifications.  

  • Ensures that essential office supplies are stocked and that supply area is organized. 

  • Attends meetings and transcribes minutes. 

  • Ensures proper coverage of duties by notifying supervisors/staff of breaks, leave, and schedule changes.  

  • Performs any other duties as assigned by the Program Director.
