Job Description

We are looking to hire a full-time Confidential Assistant to provide administrative and operational support to the President & CEO while handling sensitive and confidential information with professionalism and discretion.

Minimum Requirements

  •  High School Diploma/GED 

  • Bachelor’s degree in business administration or related field (preferred)

  • Minimum of 2-5 years of experience supporting senior executives, preferably in a corporate or nonprofit setting 

Core Competencies

  • Excellent written and verbal communication skills 

  • Demonstrated ability to handle sensitive and confidential information with discretion 

  • Ability to work independently, prioritize tasks, and manage multiple deadlines 

  • High level of proficiency in Microsoft Office Suite (Word, Excel, Powerpoint), Google Workspace,  and virtual collaboration tools (Teams, Zoom, Google Meet, etc.) 

  • Demonstrated ability to prepare executive-level correspondence, presentations, and reports with accuracy and attention to detail 

  • Strong interpersonal skills with the ability to work effectively with board members, senior leadership, and other staff members 

  • Strong organizational and project management skills; able to anticipate needs and proactively solve problems 

Job Duties/Skills Required

  • Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.

  • Screen and prioritize emails, calls, and inquiries directed to the CEO.

  • Prepare and edit correspondence, communications, presentations, and other documents.

  • Maintain organized filing systems (digital and paper) for contracts, records, and confidential documents.

  • Assist with follow up on action items from meetings.

  • Support special projects and strategic initiatives as directed by the President & CEO.

  • Ensure the President & CEO is prepared for all meetings and engagements with the necessary materials and background information.

  • Conduct research, compile data, and prepare briefings for the President & CEO.

  • Track project deadlines and ensure timely completion.

  • Handle sensitive information with the highest level of discretion.

  • Perform other related duties and special projects as assigned by the President & CEO.
