Confidential Assistant
Job Description
We are looking to hire a full-time Confidential Assistant to provide administrative and operational support to the President & CEO while handling sensitive and confidential information with professionalism and discretion.
Minimum Requirements
High School Diploma/GED
Bachelor’s degree in business administration or related field (preferred)
Minimum of 2-5 years of experience supporting senior executives, preferably in a corporate or nonprofit setting
Core Competencies
Excellent written and verbal communication skills
Demonstrated ability to handle sensitive and confidential information with discretion
Ability to work independently, prioritize tasks, and manage multiple deadlines
High level of proficiency in Microsoft Office Suite (Word, Excel, Powerpoint), Google Workspace, and virtual collaboration tools (Teams, Zoom, Google Meet, etc.)
Demonstrated ability to prepare executive-level correspondence, presentations, and reports with accuracy and attention to detail
Strong interpersonal skills with the ability to work effectively with board members, senior leadership, and other staff members
Strong organizational and project management skills; able to anticipate needs and proactively solve problems
Job Duties/Skills Required
Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
Screen and prioritize emails, calls, and inquiries directed to the CEO.
Prepare and edit correspondence, communications, presentations, and other documents.
Maintain organized filing systems (digital and paper) for contracts, records, and confidential documents.
Assist with follow up on action items from meetings.
Support special projects and strategic initiatives as directed by the President & CEO.
Ensure the President & CEO is prepared for all meetings and engagements with the necessary materials and background information.
Conduct research, compile data, and prepare briefings for the President & CEO.
Track project deadlines and ensure timely completion.
Handle sensitive information with the highest level of discretion.
Perform other related duties and special projects as assigned by the President & CEO.
