Administrative Assistant (Youth & Family Services)
Job Description
Start Corporation's Youth and Family Services is looking for a compassionate, reliable and organized administrative assistant to complete intakes, maintain clinician schedules, assist with referrals and welcome youth and their families as they arrive for their sessions. The Youth and Family Services Administrative Assistant will play a key role in ensuring efficiency and excellent customer service.
Minimum Requirements
High School Diploma: 3 years administrative experience
Associates level: Associates Degree in social services, business or office management 2 years administrative experience
Bachelors level: Bachelor's Degree in social services, business or office management 1 year administrative experience

Knowledge of agency and community resources and referral processes.
Promptly and accurately performs Youth and Family Services administrative duties, data entry and filing.
Job Duties/Skills Required
Complete mandatory and ongoing training series for Youth and Family Services and administrative assistants.
Greets and welcomes families into the Youth and Family Services clinic.
Checks in families in eCW as they arrive for sessions or assessments.
Checks out families in eCW as they depart from sessions or assessments.
Monitors licensed clinician schedules and marks appointments as no shows 15 minutes after scheduled time if family has not arrived or cancelled if the family calls to cancel/reschedule before 24 hours of scheduled appointment.
Answers and assists families via phone with scheduling, rescheduling, self referrals or directing to the appropriate department.
Uploads and enters documentation and information into client charts in eCW database.
Documents all contacts and contact attempts in eCW database.
Merges chart information into progress notes ahead of counseling sessions or assessments.
Provides coverage for Youth and Family Services administrative team members as needed.
Participates in weekly/bi-weekly supervision with Youth and Family Services Clinic Administrative Supervisor to report advances and barriers of job responsibilities.
Promote the agency/program within the community.
REQUIREMENTS:
Commitment to the Youth and Family Services programs.
Ability to exercise discretion and maintain client and employee confidentiality.
Effective verbal and written communication skills.
Work is performed in the office environment.
Can require working after hours to accommodate later sessions scheduled with licensed clinicians.
Data entry into eCW and Awards databases.
